From time to time - perhaps on an annual basis - you're likely thinking about sending statements to the people who have generously given to your church over the past 12 months. It's an important act of stewardship and gratitude - but it has often felt like a disconnected, time-consuming admin task that pulls you away from the real work of ministry.
We've heard that frustration; that's why we've completely rebuilt the experience. What used to be one of many reports you could run is now a dedicated Statements section right at the centre of the Giving module. The new functionality is simpler to use, more flexible, and includes thoughtful security options - so you can communicate clearly and confidently with your givers.
A clearer home for statements
Everything now lives in one obvious place. In the Giving module you'll find the new Statements section. Creating a collection of statements is straightforward: choose your date range (the last tax year, or any custom period you need), select your branding, and click save.
ChurchSuite automatically gathers everyone who has given (or has an active pledge) during that time. No more manual lists or jumping between systems.
Preview and customise with ease
Once generated, you can preview any giver's statement instantly. The layout is clean and professional - the same clear information you're used to, but tidier and easier to read.
You now have more control over what appears. Edit the statement options to show:
Fund totals at the top (a helpful summary for the giver)
Pledge information (so people can see what they intended to give alongside what they actually gave)
Donation notes where relevant
Save your changes and the statements regenerate automatically. You can move smoothly between givers to check everything looks right before sending.
Built-in security with password protection
Sending financial information by email should feel secure. We've added the option to protect each PDF statement with a password that is unique to the giver - for example, their mobile number.
If a giver doesn't have that detail on file, password protection simply isn't applied (you'll see this clearly indicated). When you send the email, it includes simple instructions on what to enter as the password. In preview mode you can see exactly what the recipient will experience, including the password prompt, giving you complete peace of mind.
Send one by one or reach everyone at once
For a single giver you can send the statement by email or download the PDF to print. But the real power is in the bulk actions.
Select all (or a filtered group) of your givers and choose "Send statements". ChurchSuite takes care of generating the PDFs, attaching them to the emails, and sending them for you. A clear progress bar shows you exactly where things are up to.
You can customise the email message itself - perhaps adding a warm personal greeting using merge fields - directly from the screen. Filters by communication preference (email or print) make it easy to handle mixed groups efficiently.
