Send rotas by email!

Imagine this situation: you've prepared a Rota for your coffee servers for the next three months, you print out the rota, 20 times, using up over 80 pages of paper and a ton of ink. You fold all of the pages, stick them in envelopes, prepare the addresses, stick some stamps on, carry the letters to the post office and send them.

It may have cost you quite a bit of money, a few trees and quite a lot of your precious time, but it was worth it - at least you know that everyone on the rota knows when they're due to serve. Today, we're pleased to announce that in ChurchApp, there's a much simpler way that will save you huge amounts of time:

Sending rotas by email

When you click on a given Rota in ChurchApp, and hover over the "Communicate" button, you'll find a new option there: "Send Rota".

Sending out church serving rotas by email is easy with ChurchApp

Click it, and you'll find an email compose window that will let you edit an email that contains a ready prepared rota for you.

The email field is prepopulated with the rota details for you when you send a church serving rota out by email using ChurchApp

Now, all you need to do is click "Send Email" - Done!

Rotas in ChurchApp Public

The other great way to see which Rotas you're serving on is by logging in to ChurchApp Public. This also allows rota members to swap if they cannot make a given week. We believe that making swapping easy lowers the entry bar and encourages church members to get involved in serving. It also means that what church members see is always the latest version of events - the problem with sending an email or printing a rota is that it is obviously out of date as soon as any changes happen...

Limit Rota swapping

As a church, you can enable members to swap serving slots either within their rotas or with any contact

A new feature that we've just added to ChurchApp enables churches to limit swapping to contacts who are on the same rota - this can be activated through the Rotas "module options" (the little button with the cog wheels, in the top right-hand corner of the screen).
